Data quality score shown as a KPI tile on a Dynamics 365 Power BI dashboard

Your Data Quality Score: The KPI Missing From Your Dynamics 365 Dashboard

Every sales dashboard tracks pipeline. Every marketing dashboard tracks conversion. But ask most Dynamics 365 teams what their data quality looks like this month compared to last month, and you get a shrug. Everyone agrees clean data matters — yet almost nobody measures it. The result is predictable: data quality only gets attention when something breaks, like a duplicate-riddled campaign send or a forecast built on stale accounts.

The fix is the same one that works for every other business discipline: turn it into a number, put that number on a dashboard, and watch it. That is what a data quality score does — and it changes how your organisation treats its CRM.

Why “clean data” fails as a goal

“Keep the CRM clean” is a goal nobody can act on. Clean compared to what? By when? Owned by whom? Without a metric, data quality becomes everyone’s responsibility and therefore no one’s. Cleanup happens in bursts — usually right before a migration, an audit, or a Copilot rollout — and then decays again, because nothing tracks the decay.

Contrast that with a measurable score. When data quality is a number, it can have an owner, a target, and a trendline. A drop from 92 to 85 after importing a trade-show list is visible the same week, not discovered six months later when sales complains about duplicate leads. Measurement converts data quality from a periodic cleanup project into an operational habit.

What a data quality score should actually measure

A useful score is not a single magic number pulled from thin air. It should reflect the rules that matter to your business, evaluated against your actual records. In practice that means tracking things like duplicate rates across accounts, contacts, and leads; completeness of the fields your processes depend on, such as email, phone, and country; and conformance to your own rules — valid email formats, required ownership, consistent naming.

It should also be entity-aware. A 95% score on contacts means little if your account records are a mess, because accounts drive territory planning, forecasting, and AI-generated summaries alike.

From score to habit: putting it in Power BI

Techdio’s Data Quality App builds this in. The app is a Microsoft-certified solution for Dynamics 365 and Power Apps, available on Microsoft Marketplace and Microsoft Marketplace, and it includes a built-in Data Score you can track directly in Power BI. That last part matters more than it sounds: once the score sits next to pipeline and revenue on the dashboards your leadership already reviews, data quality stops being an IT topic and becomes a business KPI.

Teams that adopt this pattern typically use it three ways. They baseline, so they know where they stand before any cleanup begins. They set a target per entity, because “contacts above 90” is actionable in a way “clean data” never was. And they watch the trend after every import, integration change, or new team onboarding — the moments where quality silently slips.

Improving the number, not just admiring it

A score only motivates if you can move it, and this is where the rest of the app does the work. Advanced duplicate detection — including phonetic matching that catches “Kristensen” versus “Christensen” — finds the records inflating your duplicate rate. Bulk and manual merge with a defined master record lets you resolve them without losing history. Custom data quality rules on any entity encode your standards so the score reflects what your business actually cares about. And real-time prevention stops bad data at entry, which is what keeps the trendline pointing up instead of sawtoothing between cleanups.

Because the app runs natively inside Dynamics 365, there is no external access to your data — a point your security and compliance teams will appreciate before they approve anything touching customer records.

The AI multiplier

There is one more reason to start measuring now. Copilot and AI agents reason over your data, not your intentions. Every duplicate and stale record degrades their output — confidently and at scale. A tracked data quality score is the simplest way to know whether your environment is actually ready for AI, rather than assuming it is and finding out in production.

Start with a baseline this week

You cannot improve what you do not measure, and measuring is the easy part: install the app, let it score your environment, and look at the number. Wherever it lands, you will know more about your CRM than most organisations ever do. If you would like help interpreting your baseline or setting targets, book a call with our team.
