Step 1: Find the duplicates
Before you can merge, you need to know what is duplicated. Out of the box, Dynamics 365 offers duplicate detection rules (Settings → Data Management → Duplicate Detection Rules) that warn you when a new record looks like an existing one. Their main limitation: they rely on exact matching. “Jon Smith” and “John Smith”, or “Contoso” and “Contoso Ltd”, sail straight past them. Step 2: Merge two records with the native tool
For accounts, contacts and leads, Dynamics 365 has a built-in merge:
- Open a view that shows both records (for example “All Contacts”).
- Select the two duplicate records.
- Click Merge in the command bar.

- Confirm. The losing record is deactivated and its activities, notes and related records are re-parented to the master.
