Dynamics 365 Migration Data Quality: Clean Before You Move
Every Dynamics 365 migration project has a moment of truth. It usually arrives about three weeks after go-live, when a sales manager opens the shiny new CRM, searches for a key account, and finds four versions of it — two with the old address, one with a misspelled company name, and one with no owner at all. The platform is new. The data problem is not. It just moved house.
Migrations are the single best opportunity most organisations get to fix their data, and the single most common opportunity they waste. Here is how to use yours properly.
Migration Doesn’t Clean Data — It Multiplies It
There is a persistent hope on migration projects that the new system will somehow sort things out. It won’t. An ETL pipeline is exceptionally good at moving records faithfully, including the bad ones. Worse, migrations often consolidate multiple source systems — a legacy CRM, a marketing database, a spreadsheet the service team has been quietly maintaining for six years — into one Dataverse environment. Each source has its own version of the same customer. Merge them without a matching strategy and you don’t inherit three data quality problems; you inherit their combined product.
Microsoft’s own guidance on CRM data migration to Dataverse is direct about this: profile your sources, identify orphaned records, and flag duplicate master data before you build the pipeline. That work has to happen somewhere. The question is whether it happens deliberately, or as an emergency clean-up after go-live.
The Problem With Cleaning Data Outside the System
The traditional approach is to export everything to staging tables or spreadsheets, run deduplication scripts, and load the survivors. It works, up to a point — but it has two structural weaknesses.
First, exact-match logic misses most real duplicates. “Jensen Consulting A/S” and “Jenssen Consulting AS” are the same company to a human and two different companies to a SQL join. So are “Catherine”, “Kathryn” and “Cathrin”. Real customer data is full of transcription differences, and character-by-character comparison simply doesn’t see them.
Second, staging-based cleaning is a one-off event. The day after go-live, users start typing, integrations start firing, and the environment begins re-accumulating exactly the duplicates you just spent a month removing.
A Better Sequence: Clean Natively, Then Keep It Clean

Custom data quality rules can be defined on any entity, and real-time prevention stops bad data at the point of entry — so a user creating a duplicate account is told about the existing one while they are still typing, not six months later during a reporting review. The migration cleanup becomes a permanent standard instead of a temporary state.
How Do You Prove the Migration Actually Improved Anything?

Any tool that requires exporting customer records to an external cleansing service introduces a new processor, a new transfer, and a new set of questions from your compliance team — precisely when you can least afford the delay.

If there is one practical recommendation here, it is this: begin data quality work at the discovery stage, not at the data-load stage. By the time you are building pipelines, your mappings assume a record structure that may be built on duplicates. Profiling and deduplicating early changes the volume you migrate, the effort you estimate, and often the schema decisions you make.
Clean data also makes user acceptance testing meaningful. When testers search for an account and find one accurate record instead of four uncertain ones, they trust the new system — and adoption, ultimately, is what a migration is actually for.
