Data Quality and GDPR Compliance in Dynamics 365: Why Duplicates Put You at Risk
When people talk about GDPR, they usually picture cookie banners, privacy policies, and legal reviews. But some of the biggest compliance risks live somewhere far less glamorous: inside your CRM. If your Dynamics 365 environment contains duplicate contacts, inconsistent records, and outdated personal data, you are not just fighting a data quality problem — you are carrying a GDPR problem that grows quietly with every new record.
Why duplicate records are a GDPR problem
The GDPR is built on a simple premise: an organization should know what personal data it holds about a person, why it holds it, and be able to act on that person’s rights. Duplicates undermine all three. When the same customer exists as three slightly different contact records — “Anne Jensen”, “Ann Jensen”, and “A. Jensen” with an old email address — your organization no longer has a single, reliable answer to the question “what do we know about this person?”
Under Article 5 of the GDPR, personal data must be accurate and kept up to date. A CRM full of conflicting duplicate records makes that principle very hard to honor. And unlike many compliance gaps, this one compounds daily as new leads, imports, and integrations add fresh copies of people you already know.
Access and erasure requests need complete answers
The pressure becomes concrete the moment a data subject exercises their rights. A subject access request under Article 15 requires you to disclose the personal data you hold about someone. A deletion request under Article 17 requires you to erase it. If that person exists in your Dynamics 365 environment four times under different spellings, a search that finds only one record produces an incomplete answer — and an “erased” customer who continues to receive your newsletters from a surviving duplicate.
This is where matching quality matters. Most organizations approach compliance-driven data cleanup as a periodic project: export, deduplicate, re-import, repeat next year. The problem is everything that happens between projects.
